Posting content, responding to messages and running paid advertising are separate activities. A package should state what is created, which platforms are covered and who approves it.

Key checks for social media management

  • Define posts, formats and revision allowances.
  • Separate ad spend from management fees.
  • Keep ownership and access to business accounts.

What changes the social media management scope?

Give the provider details about platform count, posting frequency, content creation, community management, ads. Ask which of these apply to your requirement and whether they are included in the proposed service.

An illustrative quote comparison

One package schedules supplied posts; another creates content and handles messages across several platforms.

Define output, approvals and response responsibilities. Separate ad spend and any filming or design work.

Build your social media management budget

Choose the number of months you want to budget for, multiply by the quoted recurring charge and add separately priced setup or production. Advertising spend may be separate.

The calculator below uses the figures you enter from a quotation. It does not estimate market prices. Confirm what the quoted amount includes, whether VAT applies and which costs remain provisional.

Ask what work the recurring fee actually purchases

A social media management quote is useful only when its deliverables are clear. Ask for the named accounts, the number of original pieces, the formats and the publishing period. Find out whether adapting one idea for two platforms counts as one item or two. A large post allowance may consist of simple variations, while a smaller allowance may include filming, editing and substantial research.

Describe the business problem before comparing packages. A hypothetical ceramics studio might need people to understand how to enquire about a workshop, rather than a constant stream of general lifestyle posts. Ask the supplier how each proposed activity supports that journey. The studio is an example for comparing scope; it is not a customer case study, a supplier recommendation or evidence of achieved bookings.

Separate planning, production, publishing and replies

Planning may include an audience brief, content themes, a calendar and an approval meeting. Production can involve photography, video, copywriting, design and captions. Publishing means preparing and scheduling the approved material. Community management covers reading and responding to public comments or private messages. List these as separate responsibilities so a cheaper scheduling service is not mistaken for a full communications team.

Ask how urgent questions and complaints are handled. State the working hours, expected handover and the person who can confirm facts about orders or availability. A provider should not improvise a refund decision or disclose customer information to answer a public comment. If the business handles enquiries itself, make that exclusion explicit and allow time for the actual employee who will do the work.

Create the same written brief for every quotation

Give each supplier the same description of the business, target customer, existing accounts, available assets and desired contact route. Explain who can provide accurate service information and how quickly approvals can happen. Include the formats you need and any accessibility requirements. If you have no usable photographs, say so; otherwise a quote may assume that the business supplies a complete asset library.

Request a response showing included work, exclusions, assumptions and separately priced options. Ask what changes if a platform is added or a shoot is postponed. When comparing replies, put the deliverables side by side before comparing totals. An unexplained low price may reflect a smaller service, while an expensive proposal may include work you do not need. Clarify the difference rather than assuming either is better.

Build a budget from the actual quote

Use the calculator on this page with confirmed quoted amounts. Enter the recurring management charge for the intended number of months and separately quoted setup or production once. Keep paid advertising spend distinct from the management fee. Record whether an amount includes VAT and apply the same basis across comparisons. The calculator adds your figures; it does not supply a national average or a forecast of returns.

Prepare a separate full-cost worksheet for items outside the calculator's scope. That may include optional software, travel, photography, additional revisions or paid media, depending on the written proposal. Mark provisional amounts clearly and identify who approves them. Ask for a revised total before authorising a change, especially when a small extra repeats each month. Avoid counting an item again if it is already included in the package.

Agree how photographs and video will be produced

Ask whether the supplier creates original material, uses your existing files or licenses stock. For a ceramics workshop, a practical shoot brief could identify the workspace, tools, sample pieces and booking information to explain. Check what can be shown and obtain any permissions needed for people or customer work. A photograph of another studio must not be presented as evidence of your own premises or results.

The quote should state the shoot duration, delivery formats, editing allowance and whether useful source files are supplied. Agree who keeps the original files and what happens if a shoot must be rescheduled. Check rights for music, fonts, stock photographs and other third-party assets for the intended uses. A file being available online does not establish that it can be reused commercially or across every channel.

Set an approval process that can survive a busy week

Name the person who checks the draft and the backup when that person is unavailable. Give the supplier an agreed source of business facts, current offers and prohibited claims. State how corrections are returned and when an item is considered approved. A missed reply should not silently become permission to publish unless that process has been explicitly agreed and is appropriate for the material.

Use a simple version record so the scheduled item can be matched to the approved draft. Before publishing, check the destination link, date, availability, image rights and any advertising disclosure. If a material fact changes, pause the affected scheduled content and correct it. Keep a route for urgent removal or correction, including outside the supplier's ordinary hours where the business needs that service and has agreed the terms.

Keep business control of accounts and access

The business should know which person owns or administers each account and how access is recovered. Use the platform's supported role-based access where available instead of sharing a personal password among several people. Agree the permissions needed for the work and remove access that is no longer required. Keep a current record of who can publish, manage advertising or change account settings.

Discuss the end of the relationship before starting. Confirm how drafts, reports, licensed assets and outstanding messages are handed back, and who removes agency access. The arrangement should make it possible to continue serving customers after a supplier changes. Do not treat an agency's possession of a login as proof of account ownership, and do not let a business-critical contact route depend on one person's undocumented access.

Identify advertising clearly and check factual claims

UK government guidance says marketing must describe products and services accurately. Ask the provider who checks evidence for prices, offers, qualifications and performance claims. For influencer or sponsored content, use the ASA's current guidance on making advertising recognisable. A label in a profile biography does not automatically make the nature of an individual promotional post clear to the person seeing it.

Keep claims specific and supportable. Do not buy invented testimonials, fake engagement or assurances of guaranteed customers. If a sector has additional advertising restrictions, identify the relevant guidance before commissioning the content. Make responsibility for compliance review explicit; paying a management fee is not a reason to assume that every draft is accurate or appropriate for the business to publish.

Use AI assistance with a factual review

A provider may use AI to outline a calendar, suggest alternative wording or organise an approved brief. Ask how a human checks the result and which material is supplied to external tools. Do not paste customer messages or confidential business information into an unapproved service. A fluent draft still needs checking against the actual product, service and current platform requirements.

AI-generated images should not pretend to show a completed job, customer or real event. If an illustration is appropriate, describe it honestly. On the business website, publish useful original explanations with clear headings and sources for external claims. Social posting, search indexing and AI citation are separate outcomes; a social media package cannot guarantee that an assistant will recommend the business.

Ask for reports that distinguish attention from outcomes

Specify a reporting period and definitions before the work starts. Reach, impressions, video views, link clicks, suitable enquiries and completed bookings measure different stages. Ask which figures the supplier can verify and which require the business to record an outcome. Do not add figures with different definitions or interpret every impression as a new person considering a purchase.

Review a small number of useful measures alongside actual costs and the work delivered. If a report claims that content caused bookings, ask how that connection was established and what remains uncertain. Bing AI Performance citations, where relevant to the business website, are references rather than clicks or sales. A good report makes uncertainty visible and helps decide what to change next.

Compare a paid pilot with the work you can do yourself

Choose a trial scope that answers a real operational question, such as whether an agreed filming and approval process can produce useful workshop information on time. State its duration, deliverables and review date. Record the starting position and avoid changing every part of the customer journey at once. The purpose is to judge a workable service, not to manufacture a favourable before-and-after claim.

At the review, compare the agreed output with what was delivered, the time the business spent and the enquiries it could actually handle. Ask whether any work should move in-house, stop or continue. Check renewal, notice and cancellation provisions in the specific proposal before committing to another period. If the package is unsuitable, a clear handover should preserve the approved assets and the business's ability to answer customers.

Write down what a production delay changes

Ask how the calendar changes if a sample product, permission or factual approval arrives late. Agree whether the supplier moves the item, substitutes already approved material or leaves the slot empty. Identify which deadlines affect the quoted price and which simply affect publishing dates. This makes the production plan useful when normal business work interrupts the original schedule.

Check whether unused deliverables carry over and how any replacement work is authorised. A supplier should be able to distinguish a missed business approval from an undelivered contracted task. At the review, record the actual cause and agreed resolution instead of quietly changing the original promise. This provides a fair basis for deciding whether the service and approval process fit the team.

Calculate your quoted budget

Choose the number of months you want to budget for, multiply by the quoted recurring charge and add separately priced setup or production. Advertising spend may be separate.

Enter figures from your quote. Use amounts including VAT consistently. Leave extras blank if none apply. These fields stay in your browser.

Calculated total

Enter valid quoted figures

This is arithmetic using your figures, not a market estimate. Include separately charged work once and check provisional costs with the provider.

Before you book or buy

  • Define posts, formats and revision allowances.
  • Separate ad spend from management fees.
  • Keep ownership and access to business accounts.

Frequently asked questions

What should I confirm before budgeting for social media management?

Posting content, responding to messages and running paid advertising are separate activities. A package should state what is created, which platforms are covered and who approves it. Define posts, formats and revision allowances.

Does the calculator show a typical UK price?

No. It adds up your quoted figures for the quantity you choose. Published provider examples, where supplied, are identified separately and are not a national average.

Does the management fee include advertising spend?

Only if the written quote says so. Separate management, production and the media budget and check VAT and recurring extras consistently.

Who should control the business social accounts?

Keep documented business control and recovery routes, use appropriate platform roles and agree access removal and asset handover before the service starts.

How should I compare two management packages?

Compare the same brief: platforms, original deliverables, production, approvals, replies, reporting, rights, exclusions and the full quoted cost for the same period.

Can a social media package guarantee AI recommendations?

No. Social activity, website discovery, AI citations and customer enquiries are different outcomes. Ask for evidenced deliverables and reports rather than guarantees of placement.
